QuMind Limited ("QuMind", "we" / "our" / "us") is committed to protecting and respecting your privacy. QuMind is the data controller and responsible for processing your personal data. QuMind trades as MindMover Connect, Tpoll and Tpoll Direct and this policy applies to any processing carried out by us under these trading names.

QuMind is a full service Research Agency, specialising in online interviewing. This privacy policy has been created for those who take part, or are considering taking part, in our online panels, surveys and discussions and specifically the MindMover Connect panel, to provide you with information as to how we look after your personal data when you visit our website and to tell you about your privacy rights and how the law protects you. You have the right to withdraw your consent to participate in the MindMover Connect panel at any time, please see the section “your rights” below.

We hope this policy will reassure you that QuMind will act sensitively, responsibly and legally with the information that you provide, and will not sell or market to you as a result of anything you tell us in a survey. We will not pass any of your details on to third parties unless you provide clear instructions to do so.

This website is not intended for children and we do not knowingly collect data relating to children.

What is covered?

  1. The information we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We may collect, use, store and transfer different kinds of personal data about you, which we have grouped together as follows:

  • Identity Data includes first name, maiden name, last name, username or similar identified, marital status, title, date of birth, age and gender.
  • Contact Data includes email address, telephone numbers and home address.
  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website.
  • Profile Data includes your username and password, any unique identifiers, your interests, preferences, feedback and survey responses.
  • Usage Data includes information about how you use our website and services.

We also collect, use and share Aggregated Data, such as statistical or demographic data for any purpose.

Aggregated Data could be derived from your personal data, but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data, Profile Data and Technical Data to create a summarised report of browsing actions and patterns for our clients.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

  1. How is your information collected?

We collect information that you share with us through your use of the MindMover Connect panel, for example, information provided by you:

  • at the time of registration
  • by participating in our online surveys, polls and discussions or prize draws
  • by posting material on the survey or panel
  • by submitting enquiries using the contact details posted on the survey or panel

We may also ask you for information if you report a problem with the survey or panel.

As you interact with our website, we may also automatically collect Technical Data about your equipment, browsing actions and patterns. We collect this personal data by using cookies, server logs and other similar technologies. Please see our cookie policy for further details.

  1. Information we hold about you

QuMind is an Online Research Agency that collects data on behalf of its third party clients.

QuMind processes your personal information for carefully considered and specific research purposes which are in our clients' interests and enable them to enhance the services they provide, but which we believe also benefit our clients' customers. Please see “Use of your information” for more detail.

The data we collect is reported in aggregate format only. That is, no names, addresses or telephone numbers are attached to any answers (or provided at all to the third party client), but instead answers are provided as counts and percentages. QuMind will only share Aggregate data with its third party clients. means that only QuMind has access to personal details of the individual, which we hold only as a means of future contact with those who have signed up for research or who have entered prize draws or signed up to our newsletter, not as a way of selling or marketing.

Discussion groups are visible to other panel members participating in the surveyor panel through the use of an avatar which will not personally identify you. Discussion group data is also only made available to third party clients in aggregate format.

Personal information you have given to us will never be sold by QuMind.

QuMind will hold only the details that we need for you at that time. We will only ask for information such as postal address when it is necessary as part of the research that we send something to you in the post, for example if you have won a prize.

It is important that the personal data we hold about you is accurate and current. Please keep Your personal information up to date if your personal data changes during your relationship with us.

We have also identified what our legitimate interests are, where appropriate. We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

We may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

You have the right to withdraw from taking part in a survey on the MindMover Connect panel. We will not share any information from unfinished surveys with our clients.

You can unsubscribe/withdraw your consent from our newsletter or from our prize draws by clicking on the "unsubscribe" link contained in any of the emails we send to you.

You have the right to ask us to destroy a record of your response to a survey after you have submitted your answers on the survey or panel and we will ensure that your response is not used in our analysis, provided that we have not already shared it in an aggregated form with our clients.

You have the right to ask us to delete records of your interviews and any other data held about you at any time.

Under certain circumstances, you have rights under data protection laws in relation to your personal data:

  • Request access to your personal data – this enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
  • Request correction of your personal data – this enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
  • Request erasure of your personal data – this enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law.
  • Object to processing of your personal data – where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes.
  • Request restriction of processing your personal data – this enables you to ask us to suspend the processing of your personal data where (i) you want us to establish the data’s accuracy; (ii) our use of the data is unlawful, but you don’t want us to erase it; (iii) you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; (iv) you have objected to our use of your data, but we need to verify whether we have overriding legitimate grounds to use it.
  • Request transfer of your personal data – this enables you to ask us to transfer your personal data to you or a third party you have chosen, in a structured, commonly used, machine-readable format. 
  • Right to withdraw consent – this enables you to withdraw your consent at any time where we are relying on consent to process your personal data. 

You will not usually have to pay a fee to access your personal data (or to exercise any of these rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

You also have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK regulator for data protection issues (ico.org.uk). We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.

Cookies are used for validation and to prevent repeat surveying.

You can configure your browser to notify you when cookies are being placed on your computer. You can also delete cookies by adjusting your browser settings. By rejecting or disabling cookies, certain MindMover Connect panel, content or functionality may not be available to you.

  1. Disclosures of your information

We may share your personal data with the parties set out below for the purposes set out in the table above:

  •  Service providers based in the UK who provide IT, customer services and system administration services as well as fulfilment services like sending you reward vouchers
  • Professional advisers including lawyers, bankers, auditors and insurers based in the UK who provide consultancy, banking, legal, insurance and accounting services
  • HM Revenue & Customs, regulators and other authorities based in the UK who require reporting of processing activities in certain circumstances
  • Third parties to whom we may choose to sell, transfer or merge parts of our business or assets – if a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy policy

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

  1. Security and storage of information collected

QuMind is committed to maintaining the security of the data we collect and has appropriate security measures in place to protect against loss, misuse or alteration of such information. We limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality. Employees or agents of QuMind can only access data by use of authorised user name, passwords and two-step verification.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

All our online resources are appropriately secured with firewall, packet filtering, port blocking software and updated with the latest security patches. Our servers are based in the UK meaning your personal data will never leave the UK.

Where required we offer SSL (secure sockets layer) (indicated by https:// in the address bar) secured web services to offer encrypted web traffic and authentication by Thawte.

Remote administration and data retrieval (e.g. databases) is achieved through encrypted communication with the remote computers and means all traffic including passwords and user information is indiscernible if intercepted on the way.

QuMind follows the requirements of the following laws and codes:

If you would like to change or deactivate personal information you have submitted in a QuMind survey, you can email us at hello@QuMind.co.uk.

  1. Data retention

QuMind will only hold your personally identifiable member data as long as you are a member of the MindMover Connect panel. If you decide to withdraw your consent to participating in the panel, your personally identifiable member data will be deleted within 7 days.

We review the panel every 6 months and remove non-active members. We will contact you beforehand to make you aware of any inactivity on your account. Any member data we hold thereafter will be Aggregated Data for research purposes ONLY to allow for tracking long term trends in consumer behaviour. That is, no names, addresses or telephone numbers are attached to any answers, but instead answers are provided as counts and percentages.

We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purpose of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect of our relationship with you.

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

This website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy policy of every website you visit.
